Who we are
Polder is a trading name of Walter Rijneveld and Bert Cardoen, a partnership based at 8C Blomfield Villas, London W2 6NH. We are the controller for the personal data described below, except where we act as a processor for our clients (see below). General contact: hello@polder.uk · +44 7551 128886. Privacy contact: privacy@polder.uk.
What we collect and why
- When you contact us by phone, WhatsApp, email or the contact form: your name, contact details, business name and what you tell us, so we can reply. Lawful basis: legitimate interests (responding to your enquiry).
- Business outreach: business contact details of people at businesses we think may benefit from our services, taken from public sources such as company websites and Google, or given to us when we meet. Lawful basis: legitimate interests. We follow the Privacy and Electronic Communications Regulations: limited companies and LLPs may receive a business email from us with an easy opt-out in every message. Sole traders and partnerships (other than LLPs) count as individuals under those rules, so we only email them if they've agreed to it, for example when we've met and they've said we can send them something.
- When you become a client or pilot: details needed to run the product for you (for example a tenant's name, mobile or email and move-in date). For this data we act as your processor under a written data processing agreement, and you remain the controller.
This website
This website doesn't use cookies, tracking or advertising tools. Fonts and files are served from our own site, not from Google. Like any website, our hosting provider (Cloudflare) processes your IP address to deliver pages and protect against abuse.
Who we share it with
We never sell personal data. We use service providers that process data on our instructions:
- Microsoft: email
- Cloudflare: website hosting and the contact form
- Resend: delivering contact-form messages to our inbox
- WhatsApp (Meta): if you message us there
- Workflow tools and AI model providers that run and draft automated messages, named in each client's data processing agreement
Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy regulations, the UK Extension to the EU–US Data Privacy Framework, or the UK International Data Transfer Agreement.
How long we keep it
Enquiries and outreach records: up to 24 months after our last contact, or sooner if you ask us to stop. Client data: as set out in the data processing agreement, and deleted when the service ends.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, restrict or object to our use of it, ask for it in a portable format, or ask us to stop contacting you. Just email privacy@polder.uk. We'll reply within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
